Job Summary
The Student Services Specialist will provide processing/frontline
administrative support to the Veteran Services Department
This position will analyze and process student Request for Benefits
to determine veteran educational benefits eligibility and perform
technical and complex VA student certifying official duties.
Additional duties include processing VA eligibility required forms,
general academic and career advisement and other related enrollment
services to new and continuing students while providing thorough
documentation of each advisement interaction. Maintain effective
time management in order to serve a large volume of students.
Provide information and maintain current knowledge of VA
regulations & compliance policies, MCCCD academic programs, student
registration, pathway programs, general financial aid requirements
and processes, graduation requirements, academic policies, career
exploration and refer students to appropriate campus services.
Provides unofficial transcript evaluations; participate in
co-advising and individual advising modality to current and new GCC
students via instant messaging, email and individual in person and
virtual appointments.
This position will involve resolving VA educational and benefits
issues and concerns that have been escalated to external agencies,
working with external federal and state approving agencies and
MCCCD sister college constituents. This position will be required
to complete the VA and state School Certifying Official
training.
Essential Functions
60% - Reviews and performs technically complex VA processes
including review of request for benefits forms, promissory notes,
educational plans that align with declared programs of study and
course applicability, certifying school courses and processing
tuition and fees, updating Student Information Systems (SIS) and VA
Once systems, collaborating with Field of Interest (FOI) advisors,
Financial Aid and Business Services to process advanced
payments.
25% -Provide accurate and consistent customer service to students
regarding VA educational benefits and GCC programs of study. Engage
in a high degree of internal communication between FOI and
Specialty Advisors regarding student's educational plan to ensure
they take the courses needed to meet degree requirements and other
eligibility requirements to receive Veteran benefit, adhere to
processes that ensure students experience a smooth transition as
they move between FOI and specialized advising service.
Analyze/interpret and respond to inquiries requiring detailed
knowledge of federal and state regulations and policies. Ensure
compliance with all Veteran Services Center policies, and adhere to
a superior level of customer service.
10% Assists students with applying online for VA educational
benefits initial application and GCC admissions registration.
Performs regular follow-up via email and phone calls to inform
students of needed outstanding/incomplete forms needed to certify
benefits. Represent the Veterans Services Center and GCC at special
events, such as Veteran Stand Up annual event, scholarship
fundraising and other GCC Veteran sponsored
activities/programs.
5% May assist in training and direction of VA work study students,
temporary/contingent workers, performs duties as assigned.
Minimum Qualifications
Associate's Degree from a regionally accredited institution in
business administration, education or directly related field, and
one (1) year of experience assisting with educational program
eligibility processing and coordination, student advisement, VA
educational benefits experience, or related student development
programs
OR
High School Diploma or GED and three (3) years of directly related
full-time work experience as described above sufficient to
successfully perform the essential duties of the job such as those
listed above, unless otherwise subject to any other requirements
set forth in law or regulation, may be considered.
Desired Qualifications
A. Two (2) or more years' recent experience working in a veterans'
services office with knowledge in Federal and State veteran
regulations, programs, compliance, policies and student veterans
benefit guidelines.
B. Two (2) or more years' experience in all facets of certifying
initial enrollment, certifying enrollment changes, managing debt
letters, and advising students in compliance with federal and state
laws.
C. Two (2) or more years' experience utilizing internal/external
databases such as PeopleSoft (SIS) and VA Once.
D. Two (2) or more years' experience providing excellent customer
service in a diverse population.
E. Two (2) or more years' experience interpreting/following
regulatory policies in day to day work.
