General FunctionsThe Plan Specialist processes new plans, as well as plan updates. This position is responsible for a high volume of data entry, and effectively communicating with customers and co-workers.
ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Update any new and/or updated plans submitted via the daily download
  • Update FMS to reflect any new participant paperwork
  • Work with clients or their consultants to get corrected paperwork or plans
  • Work with FMS reports assigned to ensure participants plans and other information is set up correctly
  • Check files submitted from partners to ensure proper updates are made to participant information
  • Request FEIN for those that need a number or update FMS with correct FEIN
  • Monitor accounts and transactions to identify any fraudulent activities
  • Create and implement preventative measures to stop fraud
  • Actively educates management/team of current state and federal regulations as it relates to requirements.
  • Involvement in monthly, quarterly, and annual reporting for clients
  • Consultants and provides guidance to less experienced staff when necessary
  • Effectively manage escalations within the department by ensuring appropriate accountability, sense of urgency, communication and follow through to closure
  • Suggest methods to improve area operations, efficiency and service to both internal and external customers
  • Participate in planning/testing of new FMS engine software and or other system implementations.
  • Assist in additional projects as assigned to potentially include development of Plan Department scorecard, processing and determining root cause of emails, handling/reducing service code changes, processing Rate Change Forms, assisting with problem timesheets, assisting with the task report for participant hired worker rates, assisting with overtime requests received via WISITS, etc.
    Experience and SkillsMinimum of a High School Diploma or GED required with an Associate's Degree preferred. Two years of experience in a related field. Demonstrated flexibility in dealing with change and continuous efforts to improve processes. Ability to establish and maintain a positive working relationship with team members, clients and the public. Ability to maintain strict confidentiality and perform work with a high degree of accuracy. Ability to effectively utilize and/or learn both PC based and mini-computer software. Ability to coordinate work to meet deadlines. Knowledge of relevant bookkeeping/accounting principles. Ability to prioritize duties and function effectively in a multi-task environment. Ability to operate under and explain agency and departmental procedures and guidelines.
    The work environment can be busy and noisy. This is a high traffic department; there are many frequent interruptions and people seeking assistance in a wide variety of functions. Includes working in a normal office environment with frequent sitting as well as walking around office area. Use of office equipment such as copier, fax, phone, computer, etc.
