Business Operations SpecialistArizona State UniversityDean of Students WestCampus: West83967BR Job DescriptionThe Dean of Students is seeking a highly motivated, outgoing, and dynamic Business Operations Specialist. The Business Operations Specialist performs a broad scope of fiscal and human resources duties and provides guidance to staff in support of ASU policies and procedures for the Educational Outreach and Student Services / Dean of Students Office. This position assists with the basic budgeting, planning, organizing, coordinating and oversight of the business operations functions in accordance with established university goals, priorities, timelines, funding limitations and/or other specifications. This position is intended to cover a broad range of responsibilities to support all program areas under the Dean of Students. The ideal candidate will be self-motivated, have a high attention to detail, possess exceptional organizational and customer service skills, and have the ability to work well in a fast-paced, deadline driven environment. Therefore, experience working with student leaders and student workers is critical to the success of this position. Days and Schedule: Work location is primarily at the West campus; however, incumbent may be required to travel to off-campus events and other ASU campuses to perform work driving their own vehicle. This position is a Part time position from Monday thru Friday within 8AM to 5PM (flexible based on business need), evenings and weekends may be occasionally be required. Flexible work arrangements are available in an alternative or hybrid schedule but will be based on the work and the needs of the university and department operations and pending leadership approval. Salary Range$19.45 - $21.63 per hour; DOE Close Date19-September-2022 Essential DutiesWork collaboratively across various departments within the University as well as with diverse populations and groupsUse critical thinking to make decisions and/or analyze dataDevelop/update budgets and monitor expendituresComplete detailed work with interruptions in a high traffic areaMonitor and analyze a variety of account expenditures, maintain and reconcile detailed budgets for various accounts, advise and/or determine which expenditures are within the budget guidelines; inform leadership of irregularities and proceed with corrective action.Purchase supplies and equipment based on department requests with the use of a PCard or within the university Financial Management Systems (Workday, SunRISE), in accordance with established procurement and financial policies.Prepare and process employee reimbursements and journal entries in Workday as requested/needed.Evaluate expenses to ensure compliance with university and department requirementsReview and approve PCard verifications in the university Payment Net and Workday.Perform Account and PCard reconciliationsMaintain confidential administrative, fiscal, and academic recordsResearch, develop, implement and assess programsAssist with special projects, requiring problem solving, research and recommendation of next steps.Supervise students and/or staffWork collaboratively across various departments within the University as well as with diverse populations and groupsCommunicate effectively both orally and in writingPerform other duties as assigned to ensure the continuity and compliance of department business operations. Minimum QualificationsBachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Desired QualificationsDemonstrated knowledge of ASU accounting systems, procedures and techniques (Workday preferred)Experience using a financial system, human resource management system and reporting system in a higher education environment (FMS, PeopleSoft and Kenexa preferred)Demonstrated knowledge of ASU travel policies and procedures, specifically within ConcurExperience working in a fast-paced environment with competing deadlinesExperience working with detailed financial and human resources reconciliationsExperience with Microsoft Office (Word, Excel, Outlook and Visio)Experience in customer serviceEvidence of effective communication skillsExperience handling cash, managing a departmental purchasing card and assisting in the operation of a fiscally sound environmentAbility to interpret, educate about and enforce university, divisional and department policyExperience in preparing detailed reports on a timely basis.Experience in performing detailed work in an open and shared work space.Experience in supervising student employees. Working EnvironmentActivities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); frequently required to stand for varying lengths of time and walk moderate distances to perform work (25).Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.Calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier.This position receives regular review of objectives.
