Summary The Dispensary Assistant provides support in the dispensary and receiving area. The Dispensary Assistant is responsible for the dispensing, collecting, processing and general care of dental instruments, equipment and all supplies utilized in the Dental Clinic. The position reports to the Dispensary Supervisor for the Dental Clinic. Essential Duties and Responsibilities Assist in the dispensing of all disposable and fixed assets to the Practice Assistants, students and clinical faculty members as needed with a professional demeanor. Fill internal orders for the Dental Institute and additional departments as needed throughout the University utilizing the axiUm Inventory software. Process external orders which include obtaining and submitting invoices, entering UPC and product codes, updating pricing, dispensing back orders, track expiration dates, and returning of defective goods. Perform inventory counts and report stock balance discrepancies to Dispensary Supervisor for resolution. Troubleshoot equipment, perform maintenance, and send out repairs while keeping track of detailed information throughout our shared files. Ensure all equipment is returned to dispensary in excellent working condition. Must be able to multitask and fluctuate between floors for coverage. Sort and distribute supplies throughout the receiving area, dispensary area, and clinic. Assist with shelf organization for dispensary and receiving area. Consistently provide exceptional service to internal customers. Participate in Dental Clinic meetings. Assist with other duties within the clinic as assigned. Supervisory Responsibilities This job has no supervisory responsibilities. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other Qualifications This position requires a significant amount of interaction with the public and many internal customers and therefore, the individual must be able to develop positive rapport effectively. The ability to maintain a professional demeanor, be detail oriented and promote a welcoming atmosphere is essential, and to set priorities while under pressure. The ability and willingness to cross train in other areas of the Dental Clinic is required. The ability to interact professionally with vendors is also required. The individual must have the ability to become familiar with the axiUm dispensary and inventory tracking system. This position requires a high degree of knowledge of dental products, troubleshooting equipment, multitasking, paying attention to detail and organizational skills. Education and/or Experience High school diploma or GED is required. A minimum of 1- 2 years of work experience in a dispensary or dental office with a general working knowledge of the dental profession is preferred. The ability to troubleshoot equipment along with the familiarity of OSHA guidelines. Knowledge of dental equipment, general dental related procedures and proper infection control protocols. Experience working in a team and customer service oriented environment and excellent written and verbal communication skills are essential. Computer Skills Working knowledge of MS Office (Word, Excel, and Outlook) and general Dental Software preferred. Language Skills Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Reasoning Ability Basic skills: Ability apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Mathematical Ability Basic skills: Ability to add, subtract, multiply, and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
