Summary
Midwestern University is seeking a highly motivated and experienced
Grant Accounting Manager to join its Business Services team.
Reporting directly to the Director of Accounting, the Grant
Accounting Manager will be responsible for providing accounting
services for both intramural and extramural sponsored projects.
This includes budget monitoring, financial reporting, compliance
monitoring, expense approval, financial projections, invoicing, and
cash drawdowns. The Grant Accounting Manager will serve as the
primary Business Services contact for faculty performing research
and other funded projects.
Essential Duties and Responsibilities
Determine allocability, allowability, and reasonableness of
expenses based on government rules, agency guidelines, contractual
limitations, and/or institutional policy.
Prepare and post journal entries to accurately record grant
activity into the ledger.
Design, prepare and submit financial reports and schedules for
internal and external parties including researchers, agencies,
auditors, and management.
Prepare periodic time and effort reports and monitor for
compliance.
Coordinate with Office of Research and Sponsored Programs (ORSP) to
establish accounting mechanisms for new grants and contracts
including establishing GL structures, loading budgets, creating
relevant coding across systems and templates, and training users of
the accounts on relevant policies and procedures.
Participate in the development of fringe and indirect cost rate
proposals to the University's cognizant agency.
Record faculty grant incentive recaptured salary activity and
coordinate the payment of appropriate incentives on a quarterly
basis.
Prepare and submit annual informational reports including the NSF
Survey, internal performance reports, and reports requested by
accrediting bodies.
Coordinate with Student Financial Services on the management of the
Federal Work Study grant including reconciliations with Department
of Education required reporting.
Manage all university funded intramural research grant and faculty
startup fund accounts.
Request payment from agencies for grant and contract
expenditures.
Ongoing Post-award financial management of grants and contracts to
include:
Oversee all aspects of financial accounting and reporting for
grants and contracts received by the University.
Create new accounts in the ledger and provide training and
orientation to award recipients.
Prepare ad hoc financial reports and projections, monitor budget
and expense approvals, and perform salary allocations, cost
transfers, and budget transfers within relevant budget and agency
parameters.
Monthly Accounting Responsibilities:
Posting of activity to the ledger for month-end close including
revenue recognition, fringe benefits, indirect costs, accrual of
administrative cost allowances, and per diem rates from service
centers.
Manage invoicing and cash drawdowns.
Perform account reconciliations and payment postings.
Quarterly Financial and Operational Responsibilities:
Annual Responsibilities:
Prepare and submit the NSF survey and agency-required annual
reporting.
Prepare the Schedule of Federal Expenditures.
Manage the annual audits by preparing reports and schedules for
financial statements audits and Uniform Guidance federal funds
audits.
Qualifications

Education and/or Experience
Bachelor's degree from an accredited institution required,
preferably in accounting, finance, or related discipline. Must have
5-7 years of accounting experience, with at least 3 years of grant
accounting experience required. Prior experience with federal grant
regulations, such as Uniform Guidance and Cost Accounting
Standards, is required. The ideal candidate will be
detail-oriented, have strong problem-solving skills, and have
excellent written and verbal communication skills.
Computer Skills
Computer proficiency in MS Office (Word, Excel, Outlook).
